This page covers how the Pine Systems website (pinesys.xyz) handles data, cookies, accessibility, and terms of use. It describes what this website actually does — nothing here is boilerplate copied from another site.
Privacy Policy

Browsing pinesys.xyz without logging in does not collect or store any personal data.
Logging in with Discord is optional. It uses Discord's
identify permission only, which shares your Discord user ID, username,
and avatar with us. We keep those in a login session for up to 30 days (or until you
log out) so we can show you your own tickets, transcripts, and orders. We don't get
your email address, your servers, or your messages, and we don't keep the Discord
access token: it's used once to read who you are, then revoked.
The contact form stores the topic and message you send, with your Discord ID and username, so our bot can open a support ticket for you in our Discord server. It is kept with our other support records.
The application form stores what you're applying for and your message, with your Discord ID and username, so our small team can review it and decide whether to follow up. It is visible to staff on an internal review page and is kept with our other application records; it is not shared beyond Pine Systems.
Ticket transcripts are published at long, unguessable links. Anyone with the link can read the transcript, so only share it with people you trust.
The site loads web fonts from Google Fonts (fonts.googleapis.com and
fonts.gstatic.com). Loading a font sends your browser's IP address and
user-agent to Google as part of that request, under Google's own privacy practices.
No analytics, advertising, or tracking scripts are loaded on this site.
Orders, quotes, and support requests happen as tickets in the Pine Systems Discord server, which is governed by Discord's own terms and privacy policy. Pine Systems only sees what you choose to share in a ticket, and uses it to provide the service you asked for.
If your project includes a hosted bot, it runs on servers managed by Pine Systems. The data it stores (for example logs or settings) depends on the features you asked for, and stays within your project's own setup — it is not shared with other clients.
Accessibility Statement
This site aims to meet WCAG 2.1 AA. Concretely, that means:
- A "Skip to content" link is available at the top of every page for keyboard users.
- All images carry descriptive alt text; purely decorative icons are hidden from screen readers.
- Interactive elements have a visible focus outline for keyboard navigation.
- Text color combinations are checked against a 4.5:1 minimum contrast ratio.
The contact and application forms use native, labeled form fields with visible focus states, so they work with keyboard navigation and screen readers without extra steps. If you hit an accessibility barrier anywhere on this site, open a ticket in the Pine Systems Discord and it will be looked at.
Security
Login sessions and form submissions (contact messages, applications) are stored in a private database, not exposed publicly, and are only reachable by logged-in staff through the internal dashboard. For hosted bots, tokens and settings are kept on the server that runs your bot and are not shared with other customers. Never post your bot token in a public channel; if you think it has leaked, reset it in the Discord Developer Portal and open a ticket.
Terms of Service
These are plain-language terms for how Pine Systems works. They are a summary and may be replaced by fuller terms later.
- Access: every project starts with an application. Submitting one does not guarantee acceptance — capacity is limited and each one is reviewed by hand, not automatically approved.
- Pricing: there is no public price list or self-serve checkout. Price and timeline are agreed with you directly before any work begins, once your application is accepted.
- Hosting: if your project is hosted by us, billing and terms are confirmed with you directly and may be cancelled any time by opening a ticket.
- Reselling: please do not resell or redistribute work delivered through a project without asking first.
- Acceptable use: bots must follow Discord's Terms of Service and Community Guidelines. Pine Systems may stop hosting a bot that breaks them.
- Refunds: handled case by case, as agreed when the project is scoped.
